Users, roles and permissions
Create colleagues under Admin and use four permissions to control who sees all data, their own customers, finance, or only external employees.

Office users are created under System → Admin. It is also where you change permissions, deactivate a user again, or reset two-factor authentication.
Create a user
Fill in name, e-mail, phone number and role. Staffly creates the account and sends a welcome e-mail with a temporary password to the address you entered — the user does not have to create anything themselves.
The four permissions
A user with the admin role always has access to everything. For everyone else, access is governed by permissions, and a user can hold several:
| Permission | What it grants |
|---|---|
| Full access | Can see all data in the system |
| Sales | Can see their own orders and customers |
| Finance | Can see all orders, hours and finances |
| Recruiter | Can see and manage external employees |
The difference between Sales and the rest is the important one: a salesperson sees only their own orders and customers, while Full access and Finance see everything.
Tip: Start by granting too little rather than too much. Adding a permission when someone is missing something takes seconds — the opposite is rarely noticed in time.
Two-factor authentication
Users can secure their login with two-factor authentication, including a code by SMS. If that needs a mobile number the profile does not have, an admin must add it first. An admin can also reset two-factor for a user who has lost access.
Employees are not users
A temp using the app or the employee portal is not an office user. The two have separate access, and an employee can never see another employee's details.
