Offer a shift to several employees

Send an open shift out by app, e-mail or SMS — and choose whether the first to accept gets it, or you pick from those who register interest.

When a shift is missing an employee, you do not have to call around. Staffly can send the shift out to several people at once and collect the replies in one place.

How to offer a shift

Open the order and go to its shift calendar. Click the shift that needs cover and choose to offer it. The dialog asks for four things:

  1. Who should get the offer? — Staffly finds the candidates itself and marks who has the right trade, who has the app, and how many cannot take the shift.
  2. Assignment — first come first served, or you pick (see below).
  3. Send via — app notification, e-mail and/or SMS.
  4. The offer expires in — how long the offer stands.

Note: Candidates who cannot take the shift are shown as blocked with a reason — registered absence, an overlapping shift or a missing certificate, for example.

First come first served, or you pick

There are two ways to allocate the shift, chosen per offer:

  • First come first served — the first to say yes gets the shift.
  • I pick myself — employees register interest and you choose who gets it.

The second is the right one when it matters who takes the shift — at a customer who knows a particular employee, for instance.

SMS is the surest route to an employee without the app — but it costs money per message. See Send SMS with GatewayAPI.

When someone responds

If you chose I pick myself, you can follow the replies on the offer and on your dashboard. Each candidate shows as interested, declined or no reply yet, and you allocate the shift with Assign shift.

If the shift already has an employee, you can still offer it — if someone else takes it through the offer, they take it over. If the shift was filled in the meantime, Staffly says so rather than assigning it twice.

Your own employees

Shifts for your internal employees are planned under Drift → Vagtplanlægning. If a shift there needs cover, Staffly finds the employees who can take it in the same way and offers it to the ones you select.
