Certificates and expiry alerts

Register certificates with an expiry date so Staffly warns you on the dashboard and in the schedule — instead of you finding out at the customer.

Last updated 8 August 2026

An expired certificate is usually discovered at the worst possible moment: when the employee is standing at the customer. The point here is to move that discovery several weeks earlier.

Register the certificate

On the employee you add the certificate with an issue date and an expiry date. If it never expires, it is marked as lifelong. The document itself can be attached, so you can send it to the customer without hunting for it.

Two kinds of warning

Staffly watches the expiry dates and speaks up on the dashboard:

  • Certificates expiring soon — with how many days are left, and when.
  • Certificate expires before a planned shift — the more important of the two. Here the certificate runs out before the employee is due on a shift you have already scheduled.

In the schedule

If you staff a shift that requires a certificate the employee does not have, Staffly flags it immediately — alongside the other warnings about rest time, overlaps and absence.

Tip: Review expiring certificates once a month together with the schedule for the coming period. That is where an expiry costs the most.
